Phone Tree Scout ("Scout," "we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains what information we collect, how we use it, and your rights regarding that information.

1. Information We Collect

1.1 Account Information

When you subscribe to Scout, we collect your email address and payment information. Payment details are processed and stored by Stripe -- we do not store your credit card numbers directly.

1.2 CRM Data

When you connect Scout to your CRM (currently HubSpot) via OAuth, we access company records including company names, phone numbers, and timezones. We use this data solely to provide the phone tree mapping service. We do not access contacts, deals, emails, or any other CRM data beyond what is necessary for phone tree mapping.

1.3 Call Data

When Scout places calls to map phone trees, we collect:

Scout calls only publicly listed main phone lines of organizations. Scout does not call personal phone numbers, mobile phones, or individual extensions. No human conversations are recorded -- Scout listens only to automated IVR menus.

1.4 Free Tool Data

When you use the free phone tree mapping tool on our website, we collect your IP address for rate limiting purposes and the organization name and phone number you submit. IP addresses are not linked to any personal identity.

1.5 Website Data

We may collect standard web analytics data including pages visited, referral sources, and browser information. We do not use third-party advertising trackers.

2. How We Use Your Information

2.1 Providing the Service

We use your account information to manage your subscription and authenticate your access. We use CRM data and call data to generate phone tree maps and deliver them to your CRM.

2.2 Improving the Service

We use call data to improve our AI analysis, speech recognition accuracy, and phone tree mapping quality. This may include reviewing transcripts to identify patterns in IVR systems and improve our models.

2.3 Aggregated and Anonymized Data

We may aggregate and anonymize call data to create insights about phone system trends, organizational accessibility patterns, and call outcome statistics. This aggregated data does not identify any individual user, company, or specific organization. Examples of aggregated insights include general trends in when organizations' phone systems are most responsive, common IVR menu structures across industries, and average hold times by sector.

We may use aggregated, anonymized data for research, analytics, or commercial purposes, including providing insights to third parties. No aggregated data will contain information that could reasonably be used to identify you or any specific organization you have mapped.

2.4 Communications

We may use your email address to send service-related communications (billing confirmations, feature updates, service disruptions). You may opt out of non-essential communications at any time.

We retain your account information for as long as your subscription is active and for 90 days after cancellation. Call data (transcripts, phone tree maps) is retained for service improvement purposes. You may request deletion of your data at any time by contacting us.

CRM OAuth tokens are stored securely in our database and are deleted when you uninstall Scout from your CRM or upon your request.

5. Data Security

We implement reasonable technical and organizational measures to protect your data, including encrypted connections (HTTPS/TLS), secure database storage with access controls, OAuth token encryption, and webhook signature validation. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

7. Utah Consumer Privacy Act (UCPA)

If you are a Utah resident, you have additional rights under the Utah Consumer Privacy Act. We do not sell your personal data. You have the right to access, delete, and obtain a copy of your personal data. To exercise these rights, contact us using the information below. We do not discriminate against consumers who exercise their privacy rights.

Scout is a business tool not intended for use by individuals under 18 years of age. We do not knowingly collect personal information from children. If you believe we have inadvertently collected information from a child, contact us and we will promptly delete it.
